The case for the desk

Most tenders are lost on paperwork, not on capability.

A tender response desk for South African bidders: upload the pack, and thirteen governed agents build a compliant, branded, signature-ready submission against a Table of Contents you approve.

Who it is for

  • Security, cleaning, facilities and logistics companies bidding to municipalities, SOEs and provincial departments.
  • Bid consultancies preparing submissions for several client entities, sometimes on the same tender.
  • Construction, ICT and professional services firms responding to RFQs, RFPs and framework panels.
  • Consortiums and joint ventures that must produce a returnable set for every partner entity.
  • Suppliers bidding into private sector procurement with the same returnable discipline.

Five reasons it beats a template and a bid writer alone

01

Governed agents, not a chatbot

Thirteen agents with written briefs, declared dependencies, owned TOC sections and a QA veto. Handoff is automatic, and nothing drafts before the Table of Contents is approved.

02

Built for South African procurement

PPPFA, PFMA, B-BBEE, CSD, PSIRA, NBCPSS wage areas and the SBD/MBD returnable set are first-class concepts, not afterthoughts.

03

Evidence-grounded, zero fabrication

Bidder facts come only from the verified profile and evidence library. Missing facts are logged as gaps and the section stops.

04

Blockers cleared, not just reported

The Matrix Resolver merges duplicate gaps, closes what it can from your own documents, and gives every remaining blocker a named remedy, owner and turnaround.

05

Output exclusivity between clients

Two clients on the same tender receive materially distinct packs, enforced by fingerprinting and a rewrite pass.

06

Hassle-free statutory forms, two signing routes

SBD/MBD forms auto-fill from verified facts only, leave the buyer's blocks blank, initial every page, and reduce the rest to a short checklist of declarations you answer. Then sign in-system with a certified fingerprint, or issue a marked print pack, sign on paper and scan the lot back for automatic filing.

07

Runs from the assistant you already use

Add the desk to ChatGPT or Claude as a signed-in connector: read the matrix, work the gap list, run agents and record submissions, under the same plan limits and the same zero-fabrication rules.

08

Consortium-ready

Joint venture and subcontractor partners carry shares, priced contributions and scopes, with per-party returnables and a signature book for witnesses and partner signatories.

What you can point at in a demo

  • Thirteen specialist agents with individual briefs, model tiers and credit costs, handing off automatically.
  • Requirement matrix with a gap log, urgency rating and responsible person, worked by a dedicated Matrix Resolver.
  • Master Table of Contents approved by a human before any drafting starts.
  • SBD 1–9 and MBD 1–9 detection, verified-fact auto-fill with buyer blocks left blank, initials on every page, guided declarations, in-system signing or print-and-scan, with a signing certificate.
  • Joint venture partners, per-party returnables and a signature book for witnesses and partner signatories.
  • Document Studio: fourteen company document types written on brand, scoped to one company and one tender.
  • Branded DOCX, PDF and ZIP export with cover page, index and figure list.
  • Per-tender credit and rand cost breakdown, with per-job spend caps and VAT-inclusive ZAR checkout by card or instant EFT.
  • Works inside ChatGPT and Claude as a signed-in connector, under the same plan limits and governance.

The four objections, answered

How do I know it is accurate?
Accuracy-critical agents self-review, outputs are grounded in the uploaded documents and the verified profile, and QA cross-checks every TOC section before anything is marked ready. Every run is stamped with the brief version that produced it.
Is our bid information safe?
Workspaces are isolated by row-level security at the database, documents live in private storage, and administration access is restricted to the platform owner.
Is it worth the price?
One disqualification on an administrative technicality costs more than a year of subscription. Per-tender cost is visible before you run, and spend is capped.
We already have a bid writer
So keep them. The system removes extraction, matrix building, formatting, form filling and assembly, so the bid writer spends their time on win themes instead of returnables.
Our buyer still wants wet-ink signatures
Then print the pack: prefilled forms in order, marked per page, signed on paper and scanned back in one file, matched automatically to the right form and page.
We do not want a subscription yet
Buy credits or a single-tender unlock. A workspace with credits can run a full tender without a plan, and the cost is shown before the run starts.
